The problem
C&C Insurance’s team were spending 1–2 full working days manually copying data from 4–7 page insurance PDFs into Excel — claim references, incident types, vehicle registrations, costs, and more. With 200–400 clients across monthly, quarterly, and annual cycles, the volume was unsustainable. Sensitive data, tight deadlines, and zero margin for error made it a high-stakes, time-draining bottleneck.
The solution
Atkins Digital designed and built a fully automated workflow using n8n that extracts structured data directly from insurance PDFs and populates the correct Excel tabs via the Microsoft 365 API — automatically triggering chart and report updates driven by existing Excel formulas.
The system supports three trigger options to suit how the team works: an email-based trigger, a secure file upload portal, or a monitored Microsoft 365 shared folder. Built-in validation and error notifications keep everything running smoothly without manual oversight.
Delivery
From kick-off to completion in under three weeks. Week one covered PDF extraction testing and Excel data mapping. The second and third weeks were dedicated to live testing, revisions, and environment optimisation — with a full month of post-launch workflow management and support included in the project fee.
The outcome
What previously consumed entire working days now runs automatically the moment a PDF arrives. Staff are freed from repetitive data entry, reports are generated faster, and the risk of human error is removed.
